1. Scope
This Policy covers email and other electronic communications sent by or on behalf of VettiGuard, including communications delivered through contracted communications providers.
2. Transactional and service messages
VettiGuard may send messages necessary to operate or secure an account, such as email verification, login or security alerts, support responses, verification status, service incidents, administrative notices and material changes affecting an active service.
Operational messages should remain factual and should not be unnecessarily combined with promotional content.
3. Marketing messages
Where a message is a commercial electronic message for the purposes of the Spam Act 2003 (Cth), VettiGuard will seek to ensure there is an appropriate basis to send it, the sender is identified and a functional unsubscribe mechanism is provided where required.
Marketing consent and suppression records should be maintained separately from transactional delivery preferences.
4. Unsubscribe
Where the Spam Act requires an unsubscribe facility, the process should be clear, functional and actioned within the legally required period. Unsubscribing from marketing does not prevent VettiGuard from sending communications that are genuinely necessary to operate or secure an active account, where permitted by law.
5. Communications providers
VettiGuard uses contracted communications providers for service messages, including email delivery. Information required for delivery may include recipient details, message content or template variables, delivery identifiers, bounce information and related metadata. Current material providers are identified in the Data Hosting & Subprocessor Notice.
Customers using VettiGuard integrations that trigger a communications provider or another channel remain responsible for their own recipients, content, consent, sender identity and compliance where they are the sender or initiating organisation.
6. Sensitive content
Ordinary email should not contain reusable API secrets, passwords, raw biometric templates, unrestricted identity-document images or other high-risk verification evidence unless an authorised secure process specifically requires it.
7. Delivery
Acceptance of a message by VettiGuard or its communications provider does not guarantee inbox delivery. Email may be delayed, filtered, rejected or routed through recipient infrastructure outside VettiGuard's control.
