1. Purpose
This document provides short-form notices that can be placed at the point of collection and explains how privacy requests should be handled. It supplements the full Privacy Policy.
2. Account creation collection notice
VettiGuard collects the account and contact information you provide to create and secure your account, administer your workspace, provide support and send service communications. VettiGuard is provided by Ikemba Tech in Australia and uses service providers in Australia and the United States. See the Privacy Policy and Data Hosting & Subprocessor Notice for details about access, correction, complaints, overseas processing and retention.
3. Contact form collection notice
Information submitted through this form will be used to respond to your inquiry, provide support, maintain an appropriate record and protect VettiGuard from abuse. Do not submit passwords, private API keys, biometric images or identity documents through a general inquiry. Information may be processed in Australia and the United States by service providers. See the Privacy Policy and Data Hosting & Subprocessor Notice for more information.
4. Identity-document collection notice
VettiGuard will process the identity-document information you provide for the verification purpose shown on this screen. This may include the document image, extracted identity fields, machine-readable or supported barcode information, document portrait, capture quality and consistency or tamper indicators. VettiGuard native screening is not government confirmation unless an authorised government or issuer service is expressly shown as having been used. VettiGuard is primarily hosted in the United States. See the Privacy Policy and Identity Verification & Document Screening Notice.
5. Facial and biometric collection notice
Use the Biometric Collection & Consent Notice immediately before collection. Do not rely solely on a footer privacy link for biometric collection.
6. Privacy request types
VettiGuard should accept requests concerning access, correction, deletion where available, biometric revocation, complaint handling and information about relevant processing.
7. Request channel
Privacy requests may be sent to support@vettiguard.com. The requester should provide enough information to locate the relevant account or verification without sending unnecessary sensitive evidence.
8. Identity verification for requests
Before disclosing sensitive information or performing an irreversible deletion, VettiGuard may take proportionate steps to verify the requester's identity or authority. The verification process should not collect more information than reasonably necessary.
9. Customer-controlled data
If the request concerns a verification initiated by a VettiGuard customer, the customer may be the organisation best placed to decide the request. VettiGuard may refer the requester to that customer or assist the customer to respond.
10. Complaints process
VettiGuard should acknowledge a privacy complaint, investigate the relevant facts, communicate the outcome and explain any available review avenue. Where the Privacy Act applies, a person may complain to the OAIC if the matter remains unresolved after VettiGuard has had a reasonable opportunity to respond.
11. Recordkeeping
Keep a privacy-safe record of the request, verification of authority, actions taken, response date and any lawful reason for refusal or partial refusal. Do not retain unnecessary identity evidence simply because it was used to verify a request.
